If you are a builder, plumber, electrician, carpenter, or any other tradesperson working across Essex — from Basildon to Braintree — understanding what business expenses you can claim is essential. Every pound you claim reduces your taxable profit, meaning less tax to pay. Yet we see tradespeople every week who are missing out on hundreds — sometimes thousands — in legitimate deductions. This guide covers everything Essex tradespeople need to know about allowable expenses.

Vehicle and Travel Expenses

For most tradespeople, vehicle costs are the single biggest deductible expense. You can claim either the simplified mileage rate (45p per mile for the first 10,000 miles, 25p thereafter) or the actual cost method (claiming a proportion of fuel, insurance, servicing, and depreciation based on business use). If you use your van almost entirely for work, the actual cost method usually works out better. Keep a detailed mileage log — HMRC can ask to see it.

Other travel expenses are also claimable: parking fees, tolls, train fares to job sites, and even accommodation if you work away from home overnight. If you buy a van for your business, you can claim the full cost under the Annual Investment Allowance (up to £1 million per year) in the year of purchase.

Tools, Equipment, and Materials

All tools and equipment purchased for your trade are deductible — whether it is a £2,000 power tool or a £20 pack of screws. Materials bought for specific jobs are claimable too, provided you pass the cost on to the client or absorb it within your pricing. Safety equipment — hard hats, high-vis jackets, steel-toe boots — is fully deductible. Even work-specific clothing with your company logo embroidered on it qualifies, though general work clothes (even if you only wear them for work) do not.

CIS Deductions and Subcontractor Costs

If you work in the construction industry, you are probably already familiar with the Construction Industry Scheme (CIS). Under CIS, contractors deduct 20% (or 30% if not registered) from your payments and pass it to HMRC. These deductions count as tax already paid — so when you file your Self Assessment, you claim them back if you have overpaid. If you hire subcontractors yourself, their costs are a deductible business expense, but you must verify their CIS status and submit monthly CIS returns.

Office and Administrative Costs

Even if you do not have a dedicated office, you can claim home office expenses. HMRC's simplified rate allows £6 per week (£312 per year) with no receipts required. Alternatively, calculate actual costs based on the proportion of your home used for business and the time spent working there. Other claimable admin costs include: phone and internet (business proportion), office stationery, postage, computer and printer equipment, and software subscriptions like Xero or QuickBooks.

Training and Professional Development

Courses that improve your existing skills are deductible — an advanced plumbing qualification for a plumber, for example. However, training that qualifies you for a new trade (e.g., an electrician retraining as a gas engineer) is considered capital expenditure and is not immediately deductible. Professional memberships — such as Gas Safe registration, NICEIC membership, or FMB membership — are fully claimable, as are trade magazine subscriptions.

Marketing and Business Insurance

All marketing costs are deductible: website design and hosting, Google Ads, flyers, business cards, and vehicle signage. Public liability insurance, employer's liability insurance (legally required if you have staff), and tool insurance are also fully claimable. Some tradespeople are surprised to learn that accountancy fees are deductible too — so our accountancy services essentially cost less than the sticker price after tax relief.

What You Cannot Claim

It is just as important to know what is not claimable. Personal expenses — your daily commute from home to a regular workplace, everyday clothing, meals during normal working hours — are not deductible. Fines and penalties (including parking fines) are never claimable, even if incurred while working. Entertainment costs, such as taking clients for dinner, are generally not deductible for sole traders. Capital items like buildings and land have special rules and cannot usually be fully deducted in one year.

Record Keeping for Tradespeople

HMRC requires you to keep records for at least five years after the 31 January submission deadline. For most tradespeople, we recommend using a receipt capture app like Dext or the Xero app. Simply photograph every receipt at the point of purchase and forget about it — the software extracts the data and uploads it to your accounts. For cash purchases (which are common on building sites), keep a small notebook in your van and jot down every expense immediately. Bank and card statements are not sufficient proof — you need itemised receipts.
